Duration lost or trip shortened due to unforeseen reasons after arrival in Bhutan, no refund will be made – because we will already have had paid for the hotels and other logistics.

Delayed Arrivals
There is no refund for delays in arrival and departure or missed flights because of weather conditions, disrupting flights or road blocks. The tourist must however bear the cost of food, accommodation, transportation, and other services required.

Bhutan Travel Service (“BTS”) is licensed travel service provider since 1999. BTS provides travel and tourism arrangements to facilitate the connection between individuals and/or entities (“Clients”) seeking travel services from BTS’s cooperating airline, accommodation and travel suppliers (“Providers”). The client acknowledges and agrees that BTS delivers the services to the client and that BTS has no relationship with the client other than to provide the support defined above. BTS does not have control over or responsibility for the quality, timing, legality, failure to provide or any other aspect whatsoever of the services. For avoidance of any doubt, the term ‘Client’ includes all individuals and/or entities participating in the travel event and not solely the payee of the travel event.

Privacy and information retention: Because the nature of our business requires coordination with government agencies and providers who assist us to secure visas/permits and deliver the travel service requested, it is necessary to share certain personal information collected. BTS uses commercially reasonable retention of information and record. BTS and its providers assume no responsibility of liability for unauthorized access to such information by government individuals or agencies.

By using our services, you are agreeing to participate in a travel experience. Because of the unique nature of these experiences, few elements of your program and itinerary may be rescheduled/canceled due to unavoidable circumstances during the experience at the discretion and authority of BTS.

Further, please note that, while BTS and its providers will arrange the various travel components for the program, the total price quoted for your program includes additional pre-program services, including but not limited to the planning and development costs of the program’s itinerary, the coordination and reservation costs to secure and manage vendor contracts for selected program components, the costs associated with our various program safety and security measures, and the administrative and service costs related to program management.

  • Behavior: While participating in the program, clients are requested to behave in a manner that is respectful of Bhutan’s culture, its people and laws at all times. Any costs associated with disrespectful behavior, including damage, will be the responsibility of the client.
  • Responsibility: It is the client’s responsibility to understand the risks associated while traveling, including, but not limited to, understanding hotel fire safety and emergency evacuation plans at each location. All program clients will be responsible for their own actions at all times. BTS and its providers assume no responsibility for clients when they are on their own “free time”. Clients are solely responsible for the pre-program, program, and post-program medical care in all respects, including, but not limited to, obtaining and taking necessary medication(s), vaccinations and any other medical care and treatment. BTS will provide a first aid kit to cater to minor injury/illness. Clients are solely responsible for the pre-program and post-program travel in all respects, including, but not limited to, flights to/from their origin country and all visas required by other countries.
  • Health & Insurance: Clients with special medical or physical requirements should investigate destination(s) beforehand and ensure the care and conditions they need will be available. Any physical or mental condition requiring special medical attention or equipment must be disclosed in writing to BTS as soon as the condition is known and registration confirmed. BTS will make efforts to meet special needs but may alter itineraries accordingly. In compliance with the government of Bhutan policy, all clients are to be covered by travel insurance. Any expenses resulting from any tour/travel incident not covered by the travel insurance will be responsibility of the clients. In the rare event of a major medical issue, evacuation, or other serious situation, the clients may be responsible for additional fees related to transportation, staff time and risk management resources, and vendor support, if activate.
  • Price & Payment Schedule: The price and payment schedule have been agreed upon between client and BTS and may be inclusive of certain program activities such as meals, accommodations, etc. The itinerary inclusions shared with clients prior to the trip closely represent, but may not exactly match, the final itinerary provided by BTS and its providers.

     

  • Non-Refundable Fees: The following non-refundable fees apply:
  1. Visa fees: $40 USD visa application fee paid to the Government.
    Interchange fees: A $17 USD wire transfer fee or a 4.5% card payment processing fee, depending on the method of payment.
  2. International Airfare Associated Penalties for Individual or Entire Program Cancellations:
    Once any international air tickets are processed and ticketed, the entire amount of the airline tickets becomes fully non-refundable.
  • Individual or Entire Cancellations & Associated penalties: All cancellations must be sent via email to BTS at btskoko@gmail.com . Cancellations are effective on the date they are received by BTS and may take up to 30 days to be processed.

    Cancellations received more than 90 days prior to arrival- No penalty.

    Cancellations received 61 to 90 days prior to arrival- BTS will retain 15% of the full trip payment (excluding any international airfare to/from the origin country) as well as any additional nonrefundable fees previously committed to by clients in writing prior to cancellation.

    Cancellations received 60 to 31 days of arrival: BTS will retain 50% of the full payment (excluding any international airfare to/from the origin country) as well as any additional nonrefundable fees previously committed to by clients in writing prior to cancellation.

    Cancellations within or on 30 days to arrival: BTS will retain 100% of the full payment (excluding any international airfare to/from the origin country) as well as any additional nonrefundable fees previously committed to by clients in writing prior to cancellation.

  • Transfers: Trip reservations are transferrable to later dates if the request is received 61 days or more prior to arrival in Bhutan.

     

  • Visa(s)/permits & Passports: Visas are required for all clients except Indian clients who require only a permit to enter Bhutan. While BTS may assist in the visa(s) procurement process for Bhutan, the attainment of a visa(s) in other countries (i.e. India, Thailand, etc.) including entry and transit visa, is solely the responsibility of the client. Inability to travel due to lack of proper travel documents (Passports & Visas) does not constitute ground for a refund.

     

  • Changes to program: BTS reserves the right to make additions or deletions in the program in certain circumstances. Unless otherwise specified by BTS, there will not be a refund for such changes.

     

  • Activities: Clients acknowledge that travel carries inherent risks and that BTS and its providers are not responsible for any injury, death, or loss or damage to person or property that may result from participation in the travel experience in Bhutan. Through the BTS waiver form, clients will be required to expressly represent that he or she is mentally and physically fit and capable of participating in the travel experience prior to arrival.

     

  • Individual or group Non- Program reservations: BTS assumes no responsibility for reservations, travel, or program excursions that are not booked directly through BTS.

     

  • Indemnity: To the fullest extent permitted by law, the client agrees to defend, indemnify and hold harmless BTS and its members, officers, directors, employees, agents, affiliates and providers (each, an “indemnified party”) from and against any losses, claims, actions, costs, damages, penalties, fines and expenses, including without limitation attorneys’ fees and expenses, that may be incurred by an indemnified party arising out of, relating to or resulting from a travel experience in Bhutan, or from any breach by you of these terms and conditions, including without limitation any actual or alleged violation of any federal, state or local statute, ordinance, administrative order, rule or regulation.

     

  • Release: The client hereby releases and forever discharges, and covenants not to sue, BTS, and its officers, directors, employees, agents and providers from all claims, demands, actions, causes of action, losses, liabilities, costs and expenses ( including, without limitation, attorney’s and other professionals’ fees and costs up through and including any appeal) arising out of the death, personal injury, property damage or otherwise suffered by any person or clients arising out of related to, directly or indirectly, the services.

     

  • Force Majeure: BTS and its providers assume no responsibility for events beyond its reasonable control, including, but not limited to, acts of god, war (whether declared or not) terrorist or criminal activities, strikes, civil unrest, government restrictions, lost or stolen belongings, overbooking of accommodations, mechanical failure of or delays with transportation, illness, dangers associated with animals, sanitation problems, food poisoning, lack of or quality medical care or actual, perceived, or threatened epidemics. BTS and its providers shall not be responsible for personal or bodily injury, loss, or damage from any event caused by persons or companies not directly or indirectly controlled by BTS or its providers.

     

  • Governing law and severability: BTS has the sole right to choose the venue of governing law.

     

  • Permission: BTS reserves the right to make audio and visual records of any of its programs. Client agrees that BTS may use any such records for promotional and/or commercial purposes, as well as approves of such uses for by third parties whom BTS may engage without any remuneration to client. Client assigns to BTS all rights, titles, and interest in or to any and all media related to a BTS trip without any remuneration to client, including photographs provided directly to BTS or through websites in which his or her name or likeness may or may not appear.

     

  • Changes to the terms: BTS reserves the right, at its sole and absolute discretion, to change, modify, add to, supplement or delete any of the terms and conditions of this agreement, effective with or without prior notice.
